Reversing Preconversion Bills
If you require the reversal of a bill and it's transactions that were posted prior to your conversion to eQ, it must be done so manually. The reason for this is that there is no way to be sure that all the information required for reversals is connected correctly. If reversal is attempted and the information is incomplete, then balancing will become extremely difficult.
The steps required to reverse the bill manually are as follows:
- Recreate time and expenses and post offsetting entries so that your net new WIP is zero. For example if you have 1 hour of time for timekeeper 10 then you need to post one entry for 1.0 hours and one entry for -1.0 hours in Time Recorder. Do the same for expenses in the 'Disbursement' posting program.
- HINT: In Time Recorder, you can use [F4] to copy the docket above your cursor.
- Once you find the docket you need to re-enter, put your cursor on that record and press [F6] (insert record) to open up the line below it.
- Copy the docket using [F4].
- Repeat and make the second entry negative.
- You can also use [F3] to copy the information from the field immediately above your cursor. This is great for copying just the description.

Bill the negative entries and make any adjustments as per the original bill. This will create your negative bill.

You can then post any other transactions to the negative bill that were on the original bill. For example, if there was a receipt of 200.00, then post a negative receipt to this new bill for –200.00

Any outstanding balances left on the original and negative bill can be paid or written off. The net should be zero.

At this point you have your time and expenses available again for billing.
